1. Process description

The EU Agency for Railways is conducting online surveys through its SRM (Stakeholder Relationship Management) tool. Replies to the questions included in the online survey are voluntary.

Individual responses will be processed by the Agency staff in accordance with Regulation (EC) 45/2001, of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data and with this specific privacy statement.

The relevant processing operations thereof and the survey are under the responsibility of the Head of the Unit organizing it, acting as the Controller.

2. What personal information do we collect, for what purpose and through which technical means?

Identification Data

The personal data are provided on voluntary basis and further processed. At the moment the tool does not allow us to fully anonymize the answers. All replies are directly linked with a contact.

However the results of the survey will always be reported in aggregate form and not identified on an individual basis. The survey is managed by the dedicated ERA IT/communications team and no other ERA staff will have any access to the individual replies.

Purposes

The Agency will not use your personal data for any purpose other than carrying out the survey and collecting, aggregating and further analyzing the results thereof.

It is possible that the SRM tool uses a session cookie..

3. Who has access to your information and to whom is it disclosed?

The access to all personal data as well as all information collected in the context of this survey, and the organisation thereof, is granted to a defined population of users. These users typically are the Agency relevant Unit team involved in organizing and managing the survey and its results.

The Agency will not disclose any of this personal data to any other person or body which are outside the recipients nor divulge this data for marketing purposes.

The collected personal data and all information related to the above mentioned survey are stored in the SRM. Please note that during the processing of the results of the survey on behalf of the Agency your data might be stored temporarily on the servers of our processor, ClickDimensions. 4. How do we protect and safeguard your information?

Access to all collected personal data and all information related to the survey is only possible to the above described populations with a UserID/Password.

5. Rights of the data subject and how you can verify, modify or delete your information

A data subject can access his/her personal data, rectify any data that is inaccurate or incomplete and request to delete them by sending an email to subscriptions@era.europa.eu. He/She can also access his/her data directly on the SRM via his/her log-in and password, modify his/her data and subscribe/unsubscribe to the newsletter.

For any remarks and/or complaints regarding the processing of your personal data, you may contact the Data Protection Officer of the Agency by sending an e-mail at dataprotectionofficer@era.europa.eu. You may also exercise, at any time, the right of recourse to the European Data Protection Supervisor (EDPS) by using the following address: edps@edps.europa.eu.

6. How long do we keep your data?

The Agency only keeps the data for the time necessary to fulfil the purpose of collection or further processing. Any personal data collected solely for the purposes of conducting the survey will be deleted once the survey is closed and the results of the survey have been aggregated.
