ERADIS - Safety Certificates/Licences

Only authorized users nominated by their National Safety/ Licence Authority/ ERA can submit safety documents in ERADIS. In order to submit/revoke certificates in ERADIS, you need to have a user account. To that end, you have to fill in the form Request User Account in ERADIS by providing all the relevant details for the user account specifying which documents you need to submit.

Please provide your professional email address and select only the documents, which are relevant for submission by your organisation.

You will be provided with all relevant information to the submission of documents after having an ERADIS account.

There are various ways of searching for documents in ERADIS:

 

 

  • The general “Search in ERADIS” top right corner of any page where you can type the keyword or any number (see picture below)

     

  • The “Quick search” in the page of Safety Certificates/Licences for a simple search for safety documents per country.

     

  • The “Advanced search” in the page of Safety Certificates/Licences, where you can use several filters for the results.

When a Member State has transposed the 4th Railway Package, by default the functionality of submitting a Part A/B will be disabled.

However, we can provide the possibility on a case by case basis for missing certificates issued before the transposition date of your Member State. In this case, please contact ERADIS team.

When there is a prolongation of the validity date it is always a renewal. When the validity date remains the same but there are some changes in the certificate (e.g. new area or type of operation, new name) then it is an amendment.

Yes, for each Railway Undertaking there must be a valid part A and a valid part B issued in the same or in another Member State where the company operates.

When Part A is revoked then Part B is automatically deactivated.

However, please remember that revoking Part A certificate of an international railway undertaking means that Part B certificates issued by the other National Safety Authorities to the same railway undertaking will also be automatically deactivated. Due to this fact it is recommended to contact these National Safety Authorities and explain the purpose of the revocation in advance to revocation of Part A certificate in the ERADIS.

In order to have both certificates with the status “Revoked” then please revoke first Part B and then Part A. When ERADIS administrators publish the revocation both Part A & B will be displayed as “Revoked”.

“Shunting only” means that the RU does not provide any passenger / freight services. If the RU provides all services including shunting then you do not need to declare this separately. Shunting is implicitly included in passenger / freight services.

Yes, for transparency of information and for data quality checks, it is advisable to attach a certificate as a PDF to each declaration.

Yes, according to Article 10.6 of the Railway Safety Directive 2004/49/EC, “The safety authority shall inform the Agency within one month of the safety certificates referred to in paragraph 2(a) that have been issued, renewed, amended or revoked. It shall state the name and address of the railway undertaking, the issue date, scope and validity of the safety certificate and, in case of revocation, the reasons for its decision”.

Under the 4th Railway Package, all Single Safety Certificates will be published automatically from One Stop Shop (OSS) to ERADIS.

The European Identification Number (EIN) is the code for the harmonised numbering system used for safety certificates and other documents as described in Commission Regulation (EC) No 653/2007 and Commission Implementing Regulation 2018/763 repealing Commission Regulation (EC) No 653/2007 and shall be always respected.

When you issue and submit a Part A you can always issue a Part B in ERADIS filling in the required details. Otherwise, you have to wait until the publication of the Part A. You can always inform ERADIS team for any issue occurs.

When the certificate has expired, a new certificate has to be issued under the new name of the company. If the certificate is still valid and only the name of the company has changed then you may just amend the previous certificate by updating the name. However, all these processes should be clearly defined in your NSA’s internal procedure.

Updating the name of an international railway undertaking might have an impact on all certificates the railway undertaking has. In some cases, issuing of a single safety certificate will be required which means that a railway undertaking will need to demonstrate compliance with the new SMS requirements.

When submitting in ERADIS the relevant document (i.e. certificate, licence), you have to select the existing name from the drop down list and then introduce all changes in the respective fields below.

  • Passwords should not contain either your first name or your last name
  • 8 characters minimum.
  • Should contain minimum 3 out of:
    • 1 uppercase
    • 1 lowercase
    • 1 digit (0 to 9)
    • 1 special character (~!@#$%^&*_-+=`|\(){}[]:;"',.?/)
